Running the Numbers on a Rental

How to Verify a Seller’s Claimed Airbnb Revenue

Reconcile a vacation rental seller’s revenue claim to completed stays and buyer economics before pricing the acquisition.

I would not price a rental from a screenshot showing “annual revenue.” I want to reconcile the claim to completed stays at that property and then see what those stays would leave under the buyer's costs.

That is an acquisition decision. It is separate from whether a lender will accept the seller's record as qualifying income. A lender can approve a loan while the buyer overpays for earnings that were overstated, unusual or expensive to reproduce.

Write down exactly what the seller is claiming

Identify the property and unit, reporting period, channels, revenue definition and whether the figure is historical or projected. If a manager oversees several homes, confirm that the claimed total belongs to this home alone.

Then request source reports that can reproduce the total, not a manually edited summary with no supporting detail. Airbnb's earnings tools support listing and period breakdowns. A manager's ledger or other platform records may be needed for additional channels.

A tax form is corroborating evidence, not a substitute for the operating reconciliation. Gross payment reporting can differ from lodging revenue, cash received and taxable profit. The IRS's Form 1099 K guidance is one reason those amounts should not be treated as identical.

Trace a sample in both directions

Choose completed stays from different months and channels, including a cancellation or adjustment if one exists. Match the booking record to the property ledger, identify its charges and deductions, and trace the resulting payout into the appropriate owner or manager record.

Then work backward from selected payouts to the stays they contain. One payout may combine several reservations; one reservation may produce adjustments in different periods. The goal is a documented explanation of the timing, not forcing every deposit to equal one nightly charge.

A seller authorized export or supervised review can support this work without treating an editable spreadsheet as independent proof. If a discrepancy appears, request the underlying record and explanation. A mismatch deserves investigation; it does not automatically prove fraud.

I would also check whether direct bookings were added once or counted in both the manager total and a channel total. A property listed on several sites does not produce several independent sets of occupied nights on the same dates.

Reconcile the claim before forecasting the buyer's year

Suppose a hypothetical marketing package claims $140,000 of annual revenue. Supporting records reveal the following bridge:

Claimed total and adjustments ** Amount**
Broad revenue claim $140,000
Cleaning collections included in the claim -$12,000
Guest taxes collected for remittance -$10,000
Future reservations included with completed activity -$18,000
Lodging charges for the completed period before refunds $100,000
Refunds attributable to that lodging period -$4,000
Completed lodging revenue after those refunds $96,000

The removed categories are not all worthless or false. They simply do not represent completed lodging revenue for this model. Future reservations belong in a separate forward calendar with cancellation and transfer risk.

For this example, assume cleaning collections cover the cleaner and all associated fees exactly, so their operating net is zero. If the actual cleaning activity produces a surplus or deficit, add that net separately. Taxes held for remittance are not spendable owner revenue.

Rebuild the costs that change after the sale

Assume the buyer's management charge is 20% of lodging receipts, platform costs attributable to lodging are 15.5%, other annual operating costs are $31,000, annual mortgage principal and interest are $36,000, and a separate replacement reserve is $4,800. Other costs already include property taxes, insurance and association dues.

On $96,000 of lodging receipts, management is $19,200 and platform costs are $14,880. Cash after the stated operating costs, debt and reserve is negative $9,880.

If someone had incorrectly treated the full $140,000 as lodging revenue with the same percentage costs, the displayed cash would have been positive $18,500. The error changes the annual conclusion by $28,380.

The fee assumptions here are hypothetical and must fit the actual listing and management contract. The lesson is the reconciliation, not the particular return. Do not deduct charges twice if the source statement already reports net receipts.

Separate repeatable performance from special circumstances

Investigate owner blocks, renovation downtime, opening promotions, unusual events, discounted extended stays and changes in guest capacity. A weak month can have an explainable cause without supporting an automatic upward adjustment. A strong month can also be exceptional.

Ask whether furnishings, photographs, direct booking relationships, management and future reservations can continue under the actual sale and platform rules. Property ownership does not automatically transfer the entire operating history or account infrastructure.

If the buyer plans a different operating model, write a separate forecast with its own assumptions. Do not present the seller's history as evidence that the buyer's upgraded plan has already occurred.

Turn unresolved differences into an offer decision

I would keep a short reconciliation memo naming the claim, evidence, adjustments and remaining uncertainty. An unsupported direct booking total or missing refund period should not disappear because the annual return looks attractive.

Where the evidence supports lower earnings, revise the offer economics using those earnings. Where evidence remains unavailable, the buyer can price the uncertainty, make satisfactory verification a documented transaction condition where appropriate, or pass.

The lender documentation guide answers a different next question: which part of that verified record can enter the loan file? First decide whether the investment is worth buying on facts the buyer can defend.
